Confidentiality is not a legal formality at Equilibria Sanctuary; it is a foundational value. Our clients are high-achieving individuals who share deeply personal intentions, experiences, and vulnerabilities during their time with us. We take this trust seriously, and we protect it absolutely.

This Confidentiality Policy sets out how we handle sensitive information shared by our clients, applicants, and participants before, during, and after their retreat experience.

1. Scope of This Policy

This policy applies to all information shared with Equilibria Sanctuary through any channel, including:

• Application forms submitted via our website
• Email and direct correspondence with our team
• Information shared verbally or in writing during your retreat
• Personal disclosures made during coaching, therapy, or group sessions
• Any information shared before, during, or after your stay

2. What We Consider Confidential

We treat the following categories of information as strictly confidential:

• Your identity and the fact that you have attended or applied to attend a retreat
• Your personal intentions, goals, and background as shared in your application
• Any personal, professional, emotional, or health-related information shared during your stay
• The content of coaching or therapy sessions
• Information shared in group settings by any participant
• Your contact details and correspondence with our team

3. Our Commitment to You

Equilibria Sanctuary and all members of our team, including practitioners, therapists, chefs, and support staff, are bound by strict confidentiality. Specifically, we commit to the following:

• We will never share your name, identity, or participation with any third party without your explicit written consent
• We will never use your image, likeness, or story in marketing materials without your express permission
• We will never discuss details of your personal experience with other clients, even within the same retreat group
• All team members who have access to client information sign confidentiality agreements as part of their engagement with Equilibria Sanctuary
• We will not share your personal or professional background with other participants

4. Group Retreat Confidentiality

In shared retreat experiences, multiple participants may be present during certain activities. We ask all participants to respect the confidentiality of their fellow guests. By attending a shared retreat, you agree to:

• Keep all personal information shared by other participants strictly confidential
• Not record, photograph, or share any content featuring other participants without their explicit consent
• Treat the shared space as a sanctuary of trust and discretion

Equilibria Sanctuary cannot be held responsible for breaches of confidentiality by individual participants, though we take all reasonable steps to establish and reinforce these expectations.

5. Photography & Media

No photography, video, or audio recording of other participants or practitioners is permitted without explicit consent. Our team may occasionally document retreat experiences for internal quality purposes, but will always seek your consent before capturing any identifiable content.

If you wish to photograph or film your own personal experience during the retreat, you are welcome to do so provided it does not capture other guests without their permission.

6. Testimonials & References

We may occasionally invite clients to share their experience as a testimonial. This is entirely voluntary. Any testimonial or reference used by Equilibria Sanctuary will only be published with your explicit written consent, and you retain the right to request its removal at any time.

We will never fabricate or attribute quotes to you. We will never publish your full name without permission; testimonials may be attributed with initials or a first name only, at your discretion.

7. Exceptions

Confidentiality will be maintained absolutely, with the following narrow exceptions required by law or duty of care:

• Where disclosure is required by applicable law or court order
• Where there is a serious and credible risk of harm to you or another person
• Where you have given explicit written consent to share specific information

In any of these circumstances, we will inform you wherever possible and legally permissible before making any disclosure.

8. Data Retention

Personal information collected during the application and booking process is retained only as long as necessary to fulfil our services and meet legal obligations. Application information from individuals who do not proceed to booking is deleted within 12 months of the initial inquiry, unless you request earlier deletion.

9. Your Right to Confidentiality

If you ever feel that your confidentiality has been compromised, or if you have concerns about how your information is being handled, please contact us immediately at hello.equilibria@gmail.com. We take all such concerns seriously and will respond within 48 hours.

10. Updates to This Policy

This Confidentiality Policy may be updated periodically. The date shown at the top of this document reflects the most recent revision. Continued engagement with Equilibria Sanctuary following any update constitutes acceptance of the revised policy.
